The Venue Student Application Portal is a custom-built admissions system for schools and academies: an online application your prospective students complete from any device, and an admin dashboard your staff use to manage every applicant from first inquiry to signed enrollment agreement.
We built it for schools that outgrew paper applications, or were left stranded when a student information system shut down. Because it is custom software, it follows your admissions process, your programs, and your enrollment paperwork, not the other way around.
Two Sides, One System
For Applicants
A guided, step-by-step application that works on phones and desktops. Students pick their program and start date, upload required documents, sign enrollment agreements electronically, and log back in anytime with a secure email link, no password to remember. They can message your staff and track their status from one dashboard.
For Your Staff
An admissions dashboard with every application, document, and conversation in one place. Staff review applications, request and manage documents, send agreements for signature and counter-signature, message applicants (replies arrive by email and land back in the thread), define program start dates, and get email alerts when new leads arrive.
Built-In Capabilities
- Lead capture and multi-step application - prospective students can start with a simple inquiry and finish the full application later; incomplete applications are saved as leads your staff can follow up on.
- Document collection - required document checklists per program (ID, transcripts, certificates), uploaded by the applicant or your staff, stored in your school's own Google Drive organized by applicant.
- Electronic signatures - enrollment agreements, checklists, and orientation packets are signed online with a drawn signature, then automatically routed to a school official for counter-signature. Completed PDFs and signing records are kept with the application.
- Two-way messaging - staff and applicants converse in threads; applicants can reply straight from their email and the reply is filed with their application.
- Program and start date management - staff define programs and intake sessions; applicants choose from what you offer, so no more free-typed dates.
- Data migration - we import your existing applicant records and documents from a retiring system so nothing is lost.
Security First
Admissions files are sensitive. The portal encrypts documents in transit, masks Social Security numbers everywhere in the interface (only the last four digits are ever displayed), protects public forms with bot screening, enforces session timeouts for staff and applicants, and stores student documents in the school's own Google Drive account so the school, not a third party, owns its records.
A Real Example
A cosmetology and barbering academy came to us when the company behind its admissions platform announced it was shutting down. We built its replacement portal, migrated 128 applications, 165 applicant records, and 442 documents from the old system, and had the school live on its own subdomain with email notifications, e-signatures, and document management. Their staff now run admissions from one dashboard, and prospective students apply from their phones.
Pricing
Every school's admissions process is different, so the portal is quoted per project. Builds typically start around $4,000, which includes your application flow, staff dashboard, document collection, e-signature templates, and migration of your existing records. Hosting and support plans are quoted with the build.

What happens to our old data?
