Before: Agents juggling multiple enrollment portals, manual follow-up tracking, and generic email blasts with no enrollment-period awareness.
After: Unified platform with automated drip campaigns tied to Medicare enrollment windows, AI-powered campaign analysis, and carrier API integration for direct application submission.

Industry: Health Insurance (ACA Marketplace, Medicare Advantage, Medicare Supplement, Part D)
Challenge: Managing thousands of enrollees across multiple insurance products, each with distinct data requirements, enrollment windows, and compliance rules. Generic CRMs couldn't handle the complexity of Medicare Part A/B effective dates, Special Enrollment Period reason codes, or carrier-specific application workflows.

What we built:

  • Dual-track application system handling ACA and Medicare enrollments with product-specific form fields and encrypted data storage
  • Real-time sales pipeline with browser notifications when new leads arrive or statuses change
  • Automated drip campaign engine with campaigns tied to enrollment periods (OEP, AEP), policy effective dates, and lead status changes
  • Email template library with merge fields, open/click tracking, and bounce management
  • AI assistant that analyzes campaign performance against insurance industry benchmarks, drafts personalized client emails, and detects duplicate records with confidence scoring
  • Consent management with auditable records, printable forms, and email-based consent workflows
  • Carrier API integration for submitting applications directly to insurance carriers with mutual TLS authentication

Result: A platform that handles the full complexity of multi-product health insurance enrollment in one place. Agents see their pipeline updated in real time, automated campaigns run without manual intervention during enrollment periods, and the AI layer helps maintain data quality across thousands of records while drafting personalized communications that reflect each client's specific situation.

Franchise Management Platform

Before: Spreadsheets emailed between stores, manual payroll calculations for non-standard tech pay structures, no centralized view of performance across locations.
After: Real-time multi-store dashboard with automated daily scorecards, built-in payroll supporting flat-rate/hybrid/percentage breakout pay, and automated cash drawer reconciliation alerts.

Industry: Automotive Service (Multi-Location Quick-Lube Franchise)
Challenge: A franchise operator running dozens of Precision Tune Auto Care locations across multiple states needed a single platform to track daily sales performance, manage payroll for technicians with non-standard pay structures, and maintain visibility across the entire network.

What we built:

  • Multi-store performance dashboard showing sales, car count, ticket average, and membership numbers for today, week-to-date, month-to-date, and year-to-date, filterable by region, district, or individual store
  • Forecast engine with per-store goals and automated daily scorecard emails comparing actuals to projections
  • Payroll system supporting flat-rate, hourly, percentage breakout, and hybrid pay structures with tech bonus, tool bonus, and holiday pay calculations
  • Cash drawer reconciliation with automated nightly reports flagging any store with an overage or shortage
  • Employee management with onboarding workflows, document collection, scheduling, timesheet approval, and PTO tracking
  • Inventory tracking for fluid inventory, parts purchasing, and usage monitoring
  • 10DLC-compliant SMS communications for employee messaging, birthday and anniversary notifications

Result: Management can see every store's performance at a glance for any time period, from today through year-to-date. Daily scorecards are emailed automatically. Cash discrepancies are flagged the same night they happen. Payroll calculations that used to take hours of spreadsheet work now run automatically, handling the industry's unusual pay structures without errors.

Agency Operations Platform

Before: Separate subscriptions for ticketing, invoicing, accounting, email marketing, and server monitoring. Client data scattered across five platforms.
After: One unified platform handling ticketing, CRM, full double-entry accounting, recurring billing, email marketing, and server monitoring, with multi-brand support and AI-assisted bank reconciliation.

Industry: Web Design, IT Services, Digital Marketing
Challenge: A multi-brand agency needed to consolidate ticketing, CRM, billing, accounting, email marketing, and server monitoring into one platform instead of paying for and managing half a dozen separate SaaS subscriptions. The system needed to support multiple business brands with separate client-facing templates while sharing a single backend.

What we built:

  • Support ticket system with email-to-ticket conversion, assignment routing, priority levels, internal notes, time logging, and ticket merging
  • Full CRM with contact management, lead pipeline, sales commissions, and project scoping with branded PDF generation
  • Integrated accounting including chart of accounts, journal entries, bank reconciliation with AI-assisted statement matching, P&L, balance sheet, trial balance, and tax preparation exports
  • Recurring billing engine with automatic invoice generation, payment processing via Authorize.Net, aging reports, late fee automation, and collection tracking
  • Email marketing module with list management, campaign sending, open/click tracking, and bounce handling
  • Domain management with expiration monitoring and automated renewal notices
  • Server monitoring dashboard with real-time load displays, CPU/memory history charts, and alert notifications
  • AI assistant for natural language queries against tickets, clients, and financial data

Result: A single login replaces what used to require separate accounts across multiple SaaS platforms. Billable time logged in a support ticket flows directly to the client's invoice. Recurring services bill automatically without manual intervention. Bank reconciliation that used to take hours is now AI-assisted, matching imported statements to transactions with suggested categorizations. The entire client lifecycle, from first sales inquiry through active projects, recurring maintenance, billing, and collections, lives in one system.
